How NetFolio Books collects, uses, and protects information about you and your business. Written in plain English, with no dark patterns.

1. Scope

This Privacy Policy describes how NetFolio Books (“NetFolio,” “we,” “us”) handles information collected from visitors to our website and from clients who engage our bookkeeping services. It applies to information collected through our website, by email or phone, and through the tools we use to deliver bookkeeping work on your behalf.

NetFolio Books is a trade name of a California limited liability company. We provide bookkeeping services only — we do not provide legal or tax advice.

2. Information we collect

We collect only what we need to talk to you and to do the work you’ve hired us to do.

Information you give us directly.

  • Contact details such as your name, business name, email address, and phone number when you reach out, book a consultation, or become a client.
  • Engagement details you share during onboarding — your entity type, industry, accounting software, account preferences, and similar context.
  • Messages and files you send us by email or through other channels we use together.

Information we receive on your behalf to perform bookkeeping work.

  • Financial records such as bank, credit card, and payment-processor transactions; invoices, bills, and receipts; payroll summaries; and the chart of accounts you maintain with us.
  • Read-only access to accounting software (e.g., QuickBooks Online) and connected bank or payment feeds that you have authorized.

Information collected automatically when you visit our website.

  • Basic technical data such as device type, browser, approximate location, referring page, and pages viewed, used in aggregate to operate and improve the site.

3. How we use it

We use the information described above to:

  • Respond to your inquiries and schedule consultations.
  • Provide the bookkeeping services you’ve engaged us for — recording transactions, reconciling accounts, preparing financial statements, and communicating with you about your books.
  • Send service-related messages (engagement letters, monthly summaries, invoices, and follow-ups).
  • Maintain records required for our own accounting, billing, and compliance with applicable law.
  • Operate, secure, and improve our website.

We do not sell your personal information, and we do not use your business’s financial data to train any machine-learning model.

4. How we share it

We share information only with a small set of trusted parties, and only as needed:

  • Software platforms we use to deliver service, such as Intuit (QuickBooks), document storage, scheduling, and secure-messaging tools. These vendors process information on our behalf under their own published terms.
  • People you ask us to communicate with on your behalf — for example, your tax preparer or other professional advisors you designate.
  • Authorities or counsel when required by law, subpoena, or to protect our legal rights.

We do not share, rent, or sell your information to advertisers or data brokers.

5. Data retention

We retain client records for as long as your engagement is active, plus the period required by applicable record-keeping laws (generally up to seven years for financial records). Website analytics data is retained on a rolling basis in aggregated form.

6. Security

We use reasonable administrative, technical, and physical safeguards to protect the information in our care, including encrypted transport, access controls limited to staff who need them, multi-factor authentication on the systems we depend on, and reputable cloud providers. No method of transmission or storage is perfectly secure, but we take protecting your data seriously and review our practices regularly.

7. Your rights

Depending on where you live, you may have the right to:

  • Know what personal information we hold about you.
  • Request a copy, correction, or deletion of that information.
  • Opt out of certain uses or disclosures.
  • Not be discriminated against for exercising these rights.

To exercise any of them, email info@netfoliobooks.com and we’ll respond within the timeframe required by applicable law. We may need to verify your identity before fulfilling a request.

8. Cookies & analytics

Our website uses a small number of cookies and similar technologies for essential functionality and basic, privacy-respecting analytics. You can control cookies through your browser settings. Disabling them may affect how the site looks or behaves but will not prevent you from contacting us.

9. Children’s privacy

Our services are intended for businesses and adults. We do not knowingly collect personal information from children under 16. If you believe a child has provided us with personal information, please contact us and we will delete it.

10. Changes to this policy

We may update this Privacy Policy from time to time. When we do, we’ll change the “Last updated” date at the top of this page. For material changes, we’ll let active clients know by email.
